Essential & Desirable Criteria for the Role

Important Note: Details on the role can be found on the Job Description which is at the end

of this document. These criteria are part of the assessment criteria and will influence the

Essential 1. You must undergo and pass as security & police check. If you are found

successful, you will be requested to provide a Clean Criminal Record and a

Sex Offenders Certificate issued by the Republic of Cyprus.

2. A good knowledge of office-based IT is needed, including Microsoft Office

packages (Word, Excel, Outlook) and electronic filing practices.

3. Ability to follow and maintain set processes (vehicle tracking and 231)

accurately and consistently.

4. Confident verbal and face-to-face communication in both English and Greek,

acting as a front-of-house point of contact.

5. Ability to communicate clearly by telephone and email with military and

civilian personnel in both English and Greek.

6. The ability to communicate in English both verbally and in writing is an

essential part of this role.

7. Good organisation and attention to detail when tracking vehicles, paperwork

and actions.

8. Ability to work reliably with limited supervision, escalating issues when

required.

9. Professional conduct and trustworthiness when handling records and

financial processes.

2. Familiarity with vehicle tracking, repair coordination or contractor

4. Comfortable working in a busy, customer-facing environment with

changing priorities.

5. NVQ Level 2 or 3 in Business/Office Administration.

6. Any training and/or short course in Office IT/MS Suite.

7. Knowledge of the JAMES vehicle management system.

Official Language

The official language of the Sovereign Base Areas is English and consequently English is

the official language of British Forces Cyprus. All documents are to be completed in this

language. All employees of the Sovereign Base Areas Administration and British Forces

Cyprus are expected to have a basic command of the English language as a pre-requisite

for employment.

Brief Description of Role

The Clerk Class 2 acts as the front-of-house focal point for both Engineering Control

(EngCon) and the Workshop (WKSP) within JMETS. The role is central to vehicle tracking,

administration and the ownership of the 231 process, ensuring effective control,

accountability and flow of all vehicle platforms entering, moving within and exiting JMETS.

Responsible to

CoC (in ascending order):

1. EngCon IC

2. JMETS AQMS

3. JMETS ASM

Priorities (list in order)

1. Front of House, Vehicle Tracking, and 231 Process Ownership (Primary Role)

a. Act as the front-of-house for EngCon and the WKSP, receiving and processing all

vehicle platforms entering JMETS.

b. Jointly control and maintain the vehicle tracking system, ensuring all platforms are

accurately recorded, tracked and accounted for, including:

1) Current location

2) Status

3) Reason for position within the JMETS system

c. Jointly own and administer the 231 process, ensuring compliance, accuracy and

timeliness. Managing the end-to-end 231 workflow, including:

1) Progressing vehicles for repair via external civilian repair agents.

2) Raising and managing 231s for the procurement of spares and servicing

parts from civilian suppliers.

2. Liaison and Coordination Tasks (Conducted to support Primary Role)

a. Liaise directly with the Contracts Manager to receive direction on:

1) Approved external repair agents

2) Servicing routes

3) Parts sourcing required for 231 completions

b. Liaise directly with the Clerk Class 1 (Budget Manager) to enable:

Payment of all costs incurred through the 231 process

c. Direct and coordinate the EngCon aligned MT driver for:

1) Delivery of platforms to external repair agents

2) Collection of platforms following repair

3) Collection of spares and servicing parts from civilian suppliers

3. Administrative Oversight of Civilian Staff (Non-Management)

a. Provide administrative oversight (without line management responsibility) of civilian

employees within VRS and EngCon, specifically accounting for:

1) Submission and accuracy of timesheets

2) Maintenance of medical registry records

3) Recording and monitoring of annual leave

b. Act as the administrative point of contact for these areas on behalf of the civilian

workforce, ensuring records are complete and up to date.
