Alpha.jobs, on behalf of its client and in cooperation with a licensed employment agency with license number 547, is looking for Office Administrator / Executive Assistant – Real Estate.

Main duties:

  • Support management with calendars, scheduling, correspondence and follow-up actions while organising daily office operations.
  • Coordinate meetings, appointments and business travel.
  • Handle calls, email, incoming and outgoing correspondence, filing and general documentation.
  • Support property sales, rentals, property management and related administrative work.
  • Maintain property files, contracts, agreements, client information and records.
  • Arrange viewings, inspections, maintenance visits, handovers and property appointments.
  • Coordinate with owners, tenants, buyers, agents, developers, lawyers, accountants, contractors, banks and public authorities.
  • Follow up documentation, payments, maintenance requests, deadlines and outstanding property actions.
  • Prepare and update property listings, presentations, reports and related materials.
  • Coordinate suppliers, maintenance teams, contractors, couriers and other providers.
  • Support HR and finance with records, leave administration, invoices, expenses and general documents.
  • Maintain supplies and arrange purchases of office equipment and other requirements.

Requirements:

  • At least 1–2 years in administration, executive support, real estate or a related role.
  • Degree or diploma in business administration, secretarial studies, real estate or a related field is advantageous.
  • Real-estate, property-management, development, construction or investment experience is a strong advantage.
  • Excellent written and spoken Greek and English.
  • Strong organisation, multitasking, attention to detail and interpersonal communication.
  • Proficiency in Word, Excel, Outlook and PowerPoint.
  • Ability to prioritise, meet deadlines and work with minimal supervision.
  • Professionalism, discretion, reliability and careful handling of confidential information.
  • A driving licence is mandatory.
  • Writing, research, decision-making and practical problem-solving skills.

Schedule:

  • 08:00–17:00, including a one-hour lunch break.
