Responsibilities:

  • Greet visitors with a positive and helpful attitude.
  • Assist visitors in navigating the office and provide refreshments when appropriate.
  • Answer phone calls in a professional manner, and forward calls as necessary.
  • Reply to emails or face to face inquiries.
  • Provide clear, polite and professional communication.
  • Order and maintain office supplies.
  • Carry out administrative duties such as filing, typing, copying, scanning, etc.
  • Organize and schedule appointments and meetings.
  • Coordinate bookings for conference calls, meeting rooms, taxis, hotels, or restaurants.
  • Maintain updated contact lists and office records.
  • Accompany and represent employees at immigration, social insurance, and government offices when required.
  • Liaise with immigration authorities, social insurance offices, and other government agencies.
  • Guide employees through the social insurance registration process and ensure compliance with local regulations.

  • Maintain electronic and manual filing systems.
  • Handle sensitive information with confidentiality and discretion.
  • Coordinate repair and maintenance of office equipment.
  • Follow up with office cleaners and service providers to ensure smooth office operations.
  • Provide administrative support to various departments (Admin, Sales, Finance, HR) when needed.

Requirements:

  • Bachelor’s degree in Business Administration, Accounting, Office Management, or a related field
  • 2 to 3 years of previous administrative experience
  • Solid knowledge of Cypriot immigration procedures, and social insurance system
  • previous hands-on experience with going to social insurance, immigration authorities, or other government institutions.
  • Valid driver’s license and willingness to travel locally to government offices.

  • Excellent communication skills in Greek and English (Arabic is a plus)
