Position: Office Administration

On behalf of our client, a reputable law firm, we are looking to hire an Office Administrator to join their team in Limassol.
Duties:
- Handling telephone calls, recording messages, and managing incoming and outgoing correspondence.
- Respond to clients’ telephone and electronic communications promptly and professionally.
- Welcome and attend to clients and associates, ensuring a hospitable office environment (including refreshments when necessary).
- Schedule, coordinate, and manage meetings and appointments.
- Provide administrative and operational support to Management and ensure the smooth day-to-day running of the Office.
- Prepare, process, print, photocopy, and file documents and correspondence.
- Maintain, update, and organize both physical and electronic filing systems and databases.
- Draft, proofread, and send letters, emails, and other forms of correspondence.
- Handle courier deliveries and outgoing mail.
- Record and forward client messages to the appropriate colleagues.
- Manage and record office expenses and coordinate with the Accounting Department.
- Assist in ordering and maintaining office and kitchen supplies, stationery, and consumables.
- Ensure the cleanliness, organization, and maintenance of the Office, its facilities, and equipment.
- Coordinate with external partners, suppliers, and service providers for office maintenance, IT support, and repairs.
- Perform official errands and represent clients or the Office at Public, State, Governmental, Municipal, and Local Authorities across all Districts, as required.
- Manage business cards and maintain an updated contact database.
- Undertake any other administrative or organizational duties related to the efficient operation and coordination of the Office.
Requirements:
- Diploma in Secretarial Studies or proven experience in an administrative, office management, or similar position.
- Excellent written and verbal command of both Greek and English.
- Strong computer literacy (MS Office and general IT skills).
- Excellent organizational skills with the ability to maintain detailed and accurate records and files.
- Ability to multitask, prioritize, and work efficiently under pressure while meeting deadlines.
- Strong interpersonal and customer service skills; courteous, patient, and professional manner.
- High level of integrity, discretion, and professionalism.
- Relevant knowledge and experience in carrying out the duties described above.
