Executive Assistant & Office Manager at Alpha.Jobs
GBSB Global is looking for a highly organized, detail-oriented, and proactive Executive Assistant & Office Manager to support a senior executive on-site at our Paphos, Cyprus office. This position is ideal for a professional with excellent communication skills and the ability to manage executive-level support alongside day-to-day office operations.
Key Responsibilities:
1. Executive Support
- Act as the primary point of contact for internal and external communications on behalf of the executive
- Manage complex calendars, scheduling, and travel arrangements
- Prepare and organize documents for meetings, briefings, and approvals
- Draft, review, and manage correspondence and routine communications
- Monitor and prioritize tasks, deadlines, and updates for the executive
2. Office Management
- Ensure the smooth daily operation of the office environment
- Maintain office supplies and place orders when needed
- Coordinate shipping and courier services (e.g., DHL, local couriers)
- Manage digital and physical filing systems for easy access and organization
- Liaise with vendors and service providers to support office needs
Requirements:
– Proven experience as an Executive Assistant, Personal Assistant, or Office Manager
– Excellent organizational and multitasking skills with the ability to manage shifting priorities
– High level of discretion, professionalism, and attention to detail
– Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint)
– Strong verbal and written communication skills in English (Spanish is a plus)
– Based in Paphos, Cyprus and available for full-time, on-site work
