CareerFinders, on behalf of our client, a highly prestigious and renowned international property investment firm with newly established operations here in Cyprus, we are seeking to recruit an Executive Assistant to join their growing team based in Limassol. As the Executive Assistant to the Director, you will act as a first point of contact, including screening phone calls, enquiries, and requests, as well as efficiently establishing priorities and ensuring all enquiries are processed in a timely manner. An academic background relating to Secretarial Studies, Business Administration or similar will be considered an advantage, and previous experience in a relevant position supporting Senior Management is essential. Excellent verbal and written communication skills in Greek and English are a must. Our client offers a highly attractive remuneration package based on skills and experience.
Key Duties/Responsibilities:
- Act as a first point of contact and screening phone calls, enquiries, and requests; efficiently establishing priorities and ensuring all enquiries are processed in a timely manner.
- Management and monitoring of multiple inboxes in addition to preliminary drafting of correspondence on the Director’s behalf.
- Responsible for complex diary management; prioritising requests and advising the best fit or balance of time management.
- Prepare, collate, and circulate documentation for meetings including agendas, papers etc, and making meeting arrangements both internally and externally.
- Assist with prioritising the Director’s deadlines and priorities, reminders etc.
- Liaise with staff, suppliers, clients etc. and meet and greet visitors.
- Ensure an effective filing system is managed and maintained both electronically and in-office.
- Type, compile, and prepare documents/reports etc…
- Book and arrange domestic and international travel, transport and accommodation.
- Various ad-hoc tasks such as arranging for signature and return of documents, booking personal appointments etc…
- Use online banking to approve and monitor outgoing payments.
- Assist with personal errands, reservations, and household coordination if required.
Key Skills/Experience:
- An academic background relating to Secretarial Studies, Business Administration or similar will be considered an advantage.
- Proven experience in a relevant position supporting Senior Management is essential.
- Excellent administration and organisational skills.
- Ability to juggle a busy diary that can have last minute changes.
- Proficient user of Microsoft Office.
- Excellent professional written and verbal communication skills in both Greek and English.
- Discrete, diplomatic, and able to exercise good judgement and tact.
- Experience in working in high-pressure environments that require high attention to detail and accuracy.
