Cove Paros Hotel 5* is seeking a motivated and organized individual to join our team as a Rental Operations Coordinator We are a vehicle rental business operating from a family-owned hotel on the island of Paros, serving hotel guests and visitors with a fleet of compact cars, SUVs, and buggies.
We are looking for a reliable, hands-on coordinator to run the daily operation of the fleet across the summer season.
You will be the face of the rental business and the main point of contact for guests from the moment they ask about a car to the moment they return the keys.
You will not be working alone.
Hotel reception handles initial enquiries, walk-in questions, and front-desk bookings, and hotel housekeeping staff take care of vehicle cleaning between rentals.
Your focus is the operational side: vehicle readiness, handovers, returns, incidents, and keeping the fleet running smoothly.
What you’ll do • Ensure vehicles are ready before every rental: fuelled, inspected, documents in place, and parked ready on time • Coordinate with hotel housekeeping to make sure cars are cleaned to a high standard between rentals • Deliver cars to guests at the hotel, port, or airport and walk them through the vehicle, damage check, and rental terms • Receive vehicles on return, inspecting against departure records and logging mileage, fuel, and any new damage • Handle incidents as they arise, including breakdowns, punctures, accidents, and lost keys, calmly and professionally • Manage delivery and collection logistics across the island, coordinating with ferry arrivals and guest schedules • Stay available to renters during their hire for questions, extensions, or issues • Work alongside hotel reception, who provide front-desk support and handle initial booking enquiries • Handle complaints as first point of contact: listen, document, de-escalate, and involve the owner when needed • Maintain daily records covering bookings, agreements, returns, damage logs, mileage, fuel, and schedules • Open and close the operation each day: check the schedule, confirm readiness, reconcile the day, and flag issues • Support revenue by encouraging direct bookings, offering upgrades, maximising fleet utilisation, and delivering the kind of service that earns five-star reviews
